1. Agreement
By registering for or participating in any event organised by Aapni Dharohar, these terms and conditions are considered read, understood, and accepted by the participant.
2. Booking and registration
- A booking is considered confirmed only upon receipt of full payment.
- Accurate personal information is required to be provided by all participants at the time of registration.
- All bookings are subject to availability at the time of registration.
- Aapni Dharohar shall not be held responsible for any issues arising from incomplete or incorrect information submitted during registration.
3. Refunds
Refunds are processed strictly in accordance with the Refund Policy of Aapni Dharohar. Participants are advised to review the Refund Policy before completing their booking.
4. Event modifications and cancellations
Aapni Dharohar reserves the right to modify, reschedule, or cancel any event — including changes to route, venue, timing, or planned activities — without prior participant consent, at its sole discretion.
No liability shall be assumed by Aapni Dharohar for any failure or delay in event execution caused by circumstances beyond its control, including but not limited to natural disasters, extreme weather conditions, civil unrest, or government-imposed restrictions.
5. Participant conduct
- Respect for people, places, and heritage is expected from every participant at all times.
- Appropriate decorum is to be maintained at all locations visited during the event, in keeping with the cultural and historical significance of the space.
- The consumption or possession of alcohol, tobacco, drugs, or any intoxicating substance, as well as the use of abusive language, is strictly prohibited at all Aapni Dharohar events. Participation is subject to immediate termination in the event of such conduct, without any entitlement to refund or compensation.
- Cleanliness is to be maintained throughout the event and at all locations visited.
- All instructions issued by the Aapni Dharohar team are to be followed by participants at all times.
- Discipline and punctuality are required to be maintained as communicated during the pre-event briefing. Failure to comply may result in exclusion from certain activities or termination of participation, without any refund or compensation.
6. Volunteer expectations
Volunteers are the foundation of every Aapni Dharohar event. The following is expected from all individuals representing the organisation.
- Active and alert presence is required throughout the duration of the event.
- Clear and timely communication with the team is to be maintained at all times.
- The event route, team details, and emergency contact numbers are required to be noted before the event commences.
- The prescribed dress code is to be followed for each event.
- Reporting to the team on time, as per the pre-event briefing, is mandatory.
- Only verified and accurate information is to be shared with participants. Incorrect or unverified information must not be communicated under any circumstances.
- Aapni Dharohar and its volunteers are to be represented with respect, discipline, and pride at all times.
- Respect is to be shown to every fellow volunteer — regardless of age, experience, or role.
7. Health and safety
Aapni Dharohar reserves the right to restrict or deny participation in any activity where it is believed that the health, safety, or wellbeing of the individual or the group may be at risk.
Participants are advised to assess their own physical fitness and health condition prior to registering for any event.
8. Personal belongings
Aapni Dharohar shall not be held liable for any loss, damage, or theft of personal belongings during any event or activity.
All personal belongings are the sole responsibility of the participant throughout the duration of the event.
9. Photography and video
Photographs and videos captured by Aapni Dharohar, participants or volunteers — the following is agreed upon:
By participating, a royalty-free, perpetual, worldwide, and irrevocable licence is granted to Aapni Dharohar for the use of such images and footage for promotional, educational, and awareness purposes — including but not limited to the official website, social media platforms, print materials, and all other communication channels.
10. Force majeure
Aapni Dharohar shall not be held responsible for any inability to fulfil its obligations due to events or circumstances beyond its reasonable control — including but not limited to natural calamities, government orders, public health emergencies, or infrastructure failures.
11. Changes to these terms
Aapni Dharohar reserves the right to update or amend these Terms & Conditions at any time without prior notice. Continued participation in any event is considered acceptance of the most current version of these terms.
